Preferred Views + Workflow Tags

In this month's Workflow Wire,  we're shining a light on two of SWAP PM's most underrated tools. Individually, they keep you organized; together, they create a personalized command center that cuts through the noise.

 

👓 Preferred Views: Your Precision Lens

Think of a Preferred View as a custom-saved "snapshot" of your board. Instead of scrolling through dozens of lanes, you can toggle exactly what you need and save it for instant access.

The Power Move: For example, if you need to monitor the intersection of design and ownership, save a view that only displays the Meetings, Architecture Team, and Owner lanes and decisions.

The Benefit: You stop managing the whole project and start managing the specific relationships and phases that matter right now.


📌 Workflow Tags: One-Click Categorization

While lanes organize who or where, Workflow Tags organize the what. These tags are attributed to action items to sort them by subject matter or specific design packages.

How to Tag: Open any task to view the side drawer. Scroll down to the Project Context section. Select from or create a custom Workflow to instantly categorize the task.


The Synergy: Filtering for Relevance

The real magic happens when you combine these features to handle scale. By applying a Workflow Tag and then switching to a Preferred View, you aren't just looking at a list of tasks - you're looking at a curated high-priority operational map.


Project Highlight: Sacramento Metro Fire 🚒


Managing the planning and charting for four different fire stations across four different sites could easily become a logistical nightmare. Instead of maintaining four separate files, the team uses one integrated SWAP PM grid to keep stakeholders aligned in one place.
